Dear [Recipient first name],

Thank you for [your letter/email/submitting the form] making a request in relation to study or training, which we received on [date]. We would like to discuss your request with you to establish its relevance to your employment and to the business and consider whether or not granting the request is practicable. I therefore suggest that you come to a meeting with [name of manager] on [date] at [time]. You may, if you wish, bring a fellow worker of your choice with you to the meeting.

Following the meeting, a decision will be made on the feasibility of your request and the decision will be communicated to you in writing no later than 14 days after the meeting. We will endeavour to grant your request in relation to study or training if it is at all possible to do so, but we will need also to consider the effects of the request on the organisation, the work of your department and your colleagues.

[We may also wish to discuss with you alternative ways in which your training needs may be met. It would therefore be helpful if you are willing at the meeting to discuss possible alternative training arrangements with a view to seeking a compromise that suits both parties (if this is necessary).]

In the event that the organisation decides to refuse your request, we will explain in writing the reason why we believe that granting your request is not feasible.
