Offer of employment – fixed term

The company is pleased to make you a formal offer of fixed-term employment with [Company] in the position of [job title] in the [name of department] department.

Your employment will be for a fixed term commencing on [date] and terminating on [date]. [Company] cannot guarantee any further employment at the end of this fixed-term contract, but may, at its discretion and depending on the availability of a suitable vacancy, elect to offer you a further term of employment on either a temporary or permanent basis. It is, however, a condition of this contract that you agree that your contract of employment is subject to termination upon the expiry of the fixed term.

Your employment will commence on [date] and will terminate once the [task/project] for which you are employed is completed. [Company] cannot guarantee any further employment at the end of this temporary period of employment, but may, at its discretion and depending on the availability of a suitable vacancy, elect to offer you a further term of employment on either a temporary or permanent basis. It is, however, a condition of this contract that you agree that your contract of employment is subject to termination upon completion of the [task/project].]

We cannot confirm at this point in time exactly how long [name of absent employee]'s leave will last, but it is unlikely to be more than [number] [weeks/months]. [Company] cannot, however, guarantee you any minimum or maximum period of employment and the exact date of the termination of your post is therefore at [Company]'s discretion. [Company] will give you a minimum of [number] weeks' notice in writing prior to the termination of your contract. [Company] cannot guarantee any further employment at the end of this temporary period of employment, but may, at its discretion and depending on the availability of a suitable vacancy, elect to offer you a further term of employment on either a temporary or a permanent basis. It is, however, a condition of this contract that you agree that when [name of absent employee] returns to work, your contract of employment is subject to termination.]

Notwithstanding that this contract is for a fixed term, [Company] reserves the right at its entire discretion to terminate your employment prior to the [specified expiry date/end of the [task/project]/return to work of [name of absent employee]] by giving you not less than [number] weeks' notice.

The terms and conditions of this fixed-term contract are set out in the written statement of terms and conditions and in the [employee handbook], both enclosed with this letter. You will see that there are two copies of the written statement of terms and conditions. For our records please sign both copies and the duplicate copy of this letter confirming your acceptance of this position and return the duplicate copy of the letter and one copy of the written statement to me. 

Please also find enclosed our employee privacy notice which sets out how we process information we hold about you and provides details of your rights in respect of your personal data.
